This article helps our Volunteer Squad keep the database clean and consistent! It pertains to members who have Contributor access and above. If you're interested in getting involved, read more about joining the Squad here. We'd love to have you aboard!

There are four ways to add a new Database Item.  Whatever you do it is important that you thoroughly search for the item first as we like to avoid duplicates.  Here are some handy Search Tips.

1. From Scratch

Go to   Curation  >  Add Database Item

You will find a large list of Database Item Types such as Coins or Drawings & Paintings.  Select what you are wanting to add (Control + F4 can be helpful) and fill out the form.

2. Clone an Existing Entry

Often much easier is to find a Database Item that is very similar (say another issue of a Comic Series) and click on the Clone Database Item button -

Please make sure you check every field to ensure that the information is correct before saving your new Database Item.

3. Create a Variant of an Existing Entry

This works the same way as Cloning does.  It also creates the Variant Relationship between the two Items.  Here is our What is a Variant definition. Use this button -

Please check all the information carefully before submitting this Item.

4. Create a Subvariant of an Existing Entry

This works the same if the item already has Variants or Subvariants (here is our Subvariant Definition). In those cases everything else is the same. Use this button -

If the Item you want to create has no Variants or Subvariants yet make it into a Variant first.  Then  -

  • If you a Curator or higher level go to  Curation  >  Manage Database Item, find the two items and make them into Subvariants.

  • If you are a Contributor flag the Item for an Admin to create the Subvariants (we plan to change this so that you can do this yourself).
